7 tips for working with online sticky notes
Don’t let the size of your sticky note define the size of your idea! In the online environment, you can make your online sticky notes as big as you need to fit all your ideas.
The Sticky Notes feature is the digital equivalent of Post-It notes, and we love their simple effectiveness. So with that in mind, we wanted to share seven ways online sticky notes can help you to complete tasks within your online whiteboard.
1. Go digital first
Gather all your ideas on digital sticky notes in the same place- on a digital whiteboard. It’s a lot easier to sort through ideas and notes if all of them are in the same place. So create a new digital whiteboard where you can consolidate notes from notebooks, and office whiteboards into one shared digital board for easy ongoing access.
To add a physical note to your online board, you can use the + icon in Conceptboard, snap a photo on your phone, then Upload files. Or if it’s a digital file, you can upload the whole file directly onto your Conceptboard board.
2. Use a color coding system
If you’re holding a remote brainstorming session on Conceptboard, create a color code to visually separate ideas. For example, you can use various colored sticky notes for:
- Separate idea rounds
- Different departments or sections
- Each individual user or participant on the board
Create a short legend near the top of the board to clearly identify the color system for people joining the board for the first time.
If you work with Reviewers, this also makes it easier for them to find and move their own online sticky notes. Remember, Reviewers can only adjust the content they created themselves in the board.
3. Quickly add spreadsheet cells as online sticky notes
You can copy and paste data from an Excel spreadsheet into digital sticky notes, then color code and rearrange ideas as you need in the board.
4. Use the grid layout to quickly organize digital sticky notes
Once everyone has gotten their thoughts out on the board, it can be easier to go through all of the ideas when they are in a clear, visual layout.
5. Use the board search to quickly find what you are looking for
Hit Ctrl/⌘ + F to bring up the board search. Clicking on an item will take you to its location on the board. The board search allows you to search through text boxes, sticky notes, headlines and comments on the board (but not within uploaded files and documents).

7. Adjust access settings
One important tool within Conceptboard is the ability to update access settings for different users. This is a useful tool to consider when sharing the board with external stakeholders and clients. You can access this tool from the Share button in the top right of the board and choose between Owner, Reviewer or Reader roles. While Owners have full access, Reviewers can access the Scribble Pen, Comments, and Sticky Notes functions, and Readers have read-only accessibility and cannot make edits.
